What is Manual Shipment Entry?

Manual Shipment Entry allows you to record shipments that were processed outside the standard JASCI shipping workflow. Found under Outbound → Shipping → Manual Shipment Entry, it provides a way to enter external carrier information and complete orders in the WMS when the actual shipment happened elsewhere.

This is essential for scenarios where orders are shipped through carrier portals directly, processed by external 3PL systems, or handled offline due to system issues. Manual Shipment Entry ensures your WMS inventory and order records stay accurate even when shipments bypass the normal flow.

Key Requirement

Manual Shipment Entry requires a workbench configured with Bench Type: Manual Shipand printer use code 01: ZPL Shipping. Ensure your workbench is properly set up before using this feature.

The workflow scans the workbench, then the LPN, and presents a form to enter all shipment details including carrier, service, tracking number, and weight. Once submitted, the order is marked as shipped in JASCI with the external tracking information.

Frequently Asked Questions

Common questions about Manual Shipment Entry

QWhen should I use Manual Shipment Entry vs regular shipping?

Use Manual Shipment Entry when orders were shipped outside JASCI—through carrier portals, during system outages, by 3PL partners, or any scenario where you have tracking information but the shipment wasn't processed in the WMS. Use regular shipping (Pack and Ship, Pack Singles, etc.) for normal operations.

QWhat workbench configuration is required?

Your workbench must have Bench Type set to 'Manual Ship' and Printer Use Code 01 set to 'ZPL Shipping'. Without this configuration, you won't be able to access Manual Shipment Entry from that workbench.

QWhat information do I need to enter?

You'll need the carrier name, service level, tracking number, package weight, and ship date. The LPN is scanned to identify the order. All of this information typically comes from the external shipping system or carrier confirmation.

QDoes this print a shipping label?

Manual Shipment Entry is for recording shipments that already have labels—you're entering external tracking information. It doesn't generate new labels since the package was already shipped through another system.

QHow do I add Manual Shipment Entry to my menu?

If Manual Shipment Entry isn't visible in your Outbound → Shipping menu, contact your system administrator. They'll need to add the 'Manual Shipment Entry' program to your menu profile.

QWhat happens to inventory when I record a manual shipment?

Recording a manual shipment marks the order as shipped and adjusts inventory accordingly, just like a regular shipment. The items are deducted from available stock and the order moves to shipped status.

QCan I edit a manual shipment after it's recorded?

Once recorded, manual shipments are treated like any other shipment. If you need to correct tracking information or other details, you may need to void and re-enter, or use shipment maintenance functions depending on your system configuration.

QIs there an audit trail for manual entries?

Yes, manual shipment entries are logged with the user, timestamp, and all entered details. This provides full traceability for compliance and troubleshooting purposes.
